Understanding Licenses
Every team member — Owner, Admin, or Doctor — needs a license. There's no separate step to "buy" licenses ahead of time: a license is added automatically each time you invite someone, at your plan's per-user rate ($70/month, or $50/month on annual billing).
What is a License?
A license allows one person to record sessions, generate notes, and use every feature in VetVisit AI. Each team member needs their own.
Viewing Your Team
See who's on your team and what they're billed:
- Go to Team (sidebar)
- Open Team Members to see everyone with an active license
- Open Pending Invitations to see invites awaiting acceptance
Adding a License
Adding a team member automatically adds a license to your subscription.
Billed on Acceptance
The new license is added to your plan and billed once the invitation is accepted — not when you send it.
Steps to Add a License
- Go to Team (sidebar)
- Click "Invite Member"
- Enter their email, role, and data access level
- Review the license cost shown in the invite dialog
- Click "Send Invitation"
Removing a License
When you remove a team member, you choose what happens to their license:
Two Options
Keep the license available to assign to your next hire, or remove it from your subscription entirely — any unused time is credited to your next invoice (not refunded).
Steps to Remove a Team Member
- Go to Team (sidebar)
- Find the team member and choose to remove them
- Choose whether to keep the license available or remove it from your subscription
- Confirm the change
Reassigning a License
Replacing one team member with another doesn't require a new license.
No Extra Charge
When you remove someone and keep their license available, inviting a new person to fill that seat doesn't add another charge.
How to Reassign a License
- Remove the outgoing team member and keep their license available
- Invite the new team member — they'll use the freed-up license

Unlimited Usage
Each license includes unlimited sessions, transcriptions, and note generations. There are no per-use limits.
One Person Per License
Licenses aren't shareable — each team member needs their own to sign in and use VetVisit AI.
