Why Share Templates?

Sharing templates with your team ensures everyone uses consistent documentation formats. This improves quality, makes notes easier to review, and maintains standards across your practice.

When everyone uses the same templates, notes look consistent across your practice, making coverage and chart review easier.

Sharing Options

Templates can be shared at different levels depending on who should have access.

Only Me (Default)

Only you can see and use the template. This is the default Visibility setting for all new custom templates.

Shared with Your Team

Change Visibility so everyone in your practice can see and select the template when generating notes.

How to Share a Template

Sharing a template is straightforward:

  1. Go to Template Library
  2. Open the custom template you want to share
  3. Change the Visibility setting from "Only me" to share it with your team
  4. Click "Save for Later"
Who Can Share
Any team member can share a template they created. Practice owners and admins can see and manage all shared templates from the Template Library.

Accessing Shared Templates

Shared templates appear in your Template Library alongside built-in and personal templates.

Finding Shared Templates

In the Template Library, use the search bar or the "All creators" filter to narrow the list down to templates a specific teammate created. The Creator and Visibility columns show who made each template and whether it's private ("Just me") or shared with the team.

Using Shared Templates

Using a shared template works exactly like using any other template:

  1. Select it when generating a note
  2. Add it to your favorites for quick access
  3. Set it as your default if preferred

Template Updates

If a teammate edits a shared template, future notes generated from it use the updated version. Notes you've already generated don't change retroactively.

Be Careful with Shared Edits
When a template is shared, edits affect everyone who uses it. If you want to make personal tweaks without affecting the team, duplicate the template first and edit your own copy.

Sharing Best Practices

Test before sharing—make sure your template generates good output before rolling it out to the team.

Use clear names—name templates descriptively so team members know when to use them.

Communicate changes—let your team know when you update a shared template and what changed.

Limit edit access—having one person manage template updates prevents confusion and conflicting changes.

Gather feedback—ask team members how templates are working and iterate based on input.

Unsharing a Template

To stop sharing a template:

  1. Go to Template Library
  2. Open the shared template
  3. Change Visibility back to "Only me"
  4. Click "Save for Later"
Effect on Team Members
Once a template is private again, teammates who don't own it will no longer be able to select it. They can duplicate it before you unshare if they want to keep a copy.
